Privacy and Responsible Data Use Guidelines

At Accoil, we are committed to protecting the privacy and security of data entrusted to us by our customers. This page provides important guidance for our customers to ensure compliance with data protection regulations and ethical use of analytics. It also includes a template clause that you can incorporate into your own privacy policies to help explain how Accoil supports your business.

Accoil’s Role in Data Processing

Accoil acts as a data processor, helping you analyze user interactions and generate aggregated insights about account engagement, feature adoption, and user behavior within your application. As the data controller, you determine the data submitted to Accoil and how it is processed. Our platform processes data solely on your behalf, in accordance with the contractual agreement and applicable privacy regulations (e.g., GDPR).

We do not sell your data to third parties, misuse it, or process it for any purposes beyond those explicitly agreed upon.

Template Clause for Your Privacy Policy

To help you provide transparency to your users about your engagement with Accoil, we recommend including the following template clause in your privacy policy:

“We utilize Accoil, a third-party analytics provider, to process data related to user interactions within our application. Accoil processes this data on our behalf to generate aggregated insights about account engagement and feature adoption. These insights enable us to improve the experience of all users and enhance the functionality of our application. Accoil processes data in compliance with strict privacy and security standards and does not sell or misuse your data.”

Best Practices for Data Submission

We strongly encourage customers to follow these best practices when submitting data to Accoil:

1. Use Pseudonymization:

  • Replace identifiable information (e.g., names or emails) with pseudonymous identifiers (e.g., user IDs) wherever possible.

2. Minimize Data Submission:

  • Submit only the data necessary to achieve your analytics goals. Avoid sending excessive or irrelevant information.

3. Avoid Sensitive Data:

  • Do not submit special category data (e.g., health, biometric, or criminal offence data), as this is strictly prohibited under our terms of service.

4. Ensure Accuracy:

  • Verify the accuracy of the data you submit to avoid errors or unintended processing.

Ethical Use of Analytics

We encourage customers to use the insights generated by Accoil responsibly and ethically. Consider the following:

  • Avoid Discrimination:

    Do not use analytics to profile or exclude users based on protected attributes (e.g., age, gender, or ethnicity).

  • Vulnerable Group Inclusion:

    Be cautious when processing data from vulnerable groups (e.g., children or elderly users) and ensure compliance with applicable regulations.

  • Respect User Privacy:

    Ensure that your users understand how their data is processed and how it benefits their experience.

Compliance and Transparency

As the data controller, you are responsible for ensuring compliance with data protection regulations (e.g., GDPR, CCPA). This includes:

  • Providing clear and transparent privacy policies to your users.

  • Informing users about Accoil’s role in processing their data.

  • Addressing user requests regarding their data, such as access, correction, or deletion.
